Commercial Filming Policy

The policy stated below includes commercial filming, videotaping and still photography on campus.
  1. It is the policy of Concordia University Chicago that all filming, videotaping, and still photography on campus for commercial purposes be approved in advance by the Vice President for Enrollment and Marketing, or designee. In order to assure that the University's image and traditions are treated appropriately in these situations, the following requirements must be met:
    1. The requestor shall submit a written request to use Concordia University Chicago venues.
    2. The written request shall include the following information:
      1. The name and affiliations of the requesting organization.
      2. The name and affiliations of the manufacturer of any product(s), or the provider of any service(s) for which a commercial or other film or video production is proposed, using Concordia University Chicago campus facilities or outdoor areas.
      3. A description of the product(s) or service(s) that will be featured in the tape or film to be produced using Concordia University Chicago campus facilities or outdoor areas.
      4. A copy of the shooting script that will be used in the production.
      5. A specific listing of the Concordia University Chicago location(s) proposed to be used in the production.
      6. The name and contact information for the person who will be responsible for the proposed film or video shoot on the Concordia University Chicago campus.
      7. The above information should be received by the Concordia University Chicago Office of Marketing Communications ten (10) days before the proposed production is to begin.
  2. The following regulations apply to all such taping/filming:
    1. No productions will be allowed which advertise or promote products, services or programs that are inconsistent with the values and traditions of Concordia University Chicago.
    2. No productions will be allowed which contain visual images, dialog or voice-over that are inconsistent with the values and traditions of Concordia University Chicago.
    3. No students, faculty or staff of the University can be used in any production unless written consent from each individual so used is obtained before the fact of such use.
    4. No production can interfere with the normal operations of the University. Any taping, filming or other production can be suspended without notice in the event of an emergency (e.g. fire, bomb threat, disturbance) at or near the production location. Such determination would be made by the University's vice president for administration in conjunction with the department of public safety.
    5. A certificate of liability insurance, satisfactory to the University's risk management office, must be provided at least seven (7) working days prior to the actual production.
    6. University public safety officers must accompany the production crew while on campus, and will be billed to the production company at the current hourly rate for PS officers.
    7. No University property can be relocated or otherwise disturbed to accommodate such productions.
    8. Any damage to University property caused by the activities of the production company shall be paid for by the production company upon presentation of a detailed invoice from the University.
    9. The production will not use the Concordia University Chicago's name, nicknames, logos or symbols, nor will any of its buildings be used in the production without prior written consent.
  3. All requests for production shall be managed though the Office of Marketing Communications, and shall be made ten (10) days prior to the proposed. That office shall coordinate all production activities with the vice president for administration, the dean of administration, the director of public safety, the office of the provost, the office of the general counsel, and any other University units directly affected by such productions.

    No production activity can begin until a standard Agreement for Filming, Videotaping, and Still Photography for Commercial or Entertainment Purposes at Concordia University Chicago has been executed by the University and the individual/company responsible for the production for which approval has been requested.
